All Directors Meeting Minutes

Codify voting for OverDrive, Advantage and Delivery – M. Van Pelt

1.      All SCLS member libraries shall vote annually on their upcoming year’s individual member library fee for OverDrive, OverDrive magazines, and SCLS Advantage using a weighted voting model.

 

2.      If a vote is needed to determine the total budget amount for the annual SCLS Advantage fund, it will use the one library – one vote model.

 

3.      SCLS member libraries shall vote annually on the upcoming year’s Delivery service fees by using a weighted voting model.

          The directors voted yes, electronically, in favor of all 3 votes.  The voting results may be viewed in the documents online.
  

Service priorities, challenges and what’s coming in 2023

Technology – Vicki Teal Lovely provided an overview of the technology service priorities, challenges and what’s coming in 2023.  The move to the new building will result in downtime of the network connection (internet) for a couple of days during the switchover on Memorial Day weekend.  SCLS staff are working to minimize downtime as much as possible. The new Dell server purchased with LSTA funds will host digitized archive back-ups of materials that libraries have digitized. They are currently backed up on external hard drives.  This will be a statewide service and SCLS staff are working on a pilot. A cybersecurity response plan is a priority as well as improving security for Office 365 email. 

 

The Cost Formula Work Group will meet to discuss a new license that is needed for libraries that reach a certain level of capacity, mostly because of SCLS ISP services like security cameras. This is not included in the current fee structure and libraries have not budgeted for this.  We don’t know if this will be the norm or not moving forward.  The number of PCs on the network has been decreasing. SCLS charges $250 per year per pc, which includes software and staff to support the PCs. Due to this, we are currently running on a budget deficit and may need to look at increasing fees for PCs.   


ILS – Vicki Teal Lovely reported that the ILS team is working on copy level integration with OverDrive in LINKcat so patrons can see availability of items.  Ultimately, it may be possible to place holds from LINKcat, but that is probably phase 2.  They plan to add bibliographic records for SCLS member library materials in Recollection Wisconsin to LINKcat in order to increase discovery.  They will also adding local holdings to OCLC for LINKcat materials. Adding local holdings will improve discovery on the Internet, in particular “find in library feature”, which is similar to linked data. 

Data – T. Drexler – On the data side, services are supported by improving the processes and streamlining the collection comparison process for service data reports.

Consultants – Jean Anderson - Future All Directors meeting formats and schedule.  A history of previous All Directors meetings was reviewed and J. Anderson asked the member directors what they want out of the meetings and how they would like the future meetings to be held.  Is there an interest in a directors retreat and what topics would you like covered?  A survey will be emailed to the directors.  Post-its were also distributed to allow the directors to share their ideas.  

 

Library Legislative Day is 2/7/2023.  Everyone is encouraged to attend.  The morning session will be held at the Madison Public Library.  LD&L has been working with lobbyists on all of the messaging that they are going to present.  LD&L is asking libraries to share their stories/photos about how they allocated their additional funds in the 2022-2023 cycle.  The system will do its own report.  J. Anderson will send an email reminding the libraries to submit their stories.

                                                                  

Updates
New Building – Kerrie Goeden provided a history of the BNAW process and where we are at this point.  You may view the timeline in the documents online.  She also provided photos of the existing building and what it will look like with the headquarters remodel and delivery addition. 

Local Holds – Vicki Teal Lovely, Kathy Baker, Bailey Anderson, Margie Navarre-Saaf, and Tim Drexler are members of the Local Holds Work Group.
Kathy Baker provided a brief overview of the local holds work flow.  Bailey Anderson discussed the concerns & benefits.  Tim Drexler provided a sneak peek of local hold data with a PowerPoint presentation, which you may view in the documents online.  Margie Navarre-Saaf discussed the ideas for compromise solutions and alternative work flows.  V. Teal Lovely noted the pilot will end February 28th and discussed the next steps, which include listening sessions, asking questions, providing data and focusing on cluster meetings and answering questions.
