a.     Automated Sorter Update:

                                                    i.     Corey shared information that had been accumulated in the last two months that identified how efficiently and how accurately the SCLS Delivery team is performing in manual sorting.

1.     Accuracy. 

a.     The accuracy evaluation included proportional audits of all 65 locations that we serve.  Equal amounts of holds and returns were sampled.  To maintain proportional sampling, a pre-determined number was obtained from volume data that is derived directly from our daily trip sheets.  Samples ranged from 211 for Madison Central all the way down to 3 for Amherst.

b.     Only 3 errors out of 2136 were observed (1 return and 2 holds)

c.      Expected error frequency for a manual task like sorting should be around 99%.  This sample achieved 99.86%

d.     This sample was likely an outlier and unlikely to repeat such effective results in follow-up samples.

2.     Efficiency.

a.     A loose evaluation of 3 primary work zones revealed the following:

                                                                                                                i.     Madison Public branches zone:  20-25 bins sorted in 60 minutes (Managers)

                                                                                                               ii.     A-M (alphabetical) zone:  16-18 per hour

                                                                                                             iii.     N-Z zone:  15-17 per hour

                                                                                                             iv.     Each alphabetical zone “halved” for efficiency:  18-20 per hour

                                                                                                               v.     The Fitchburg sorter sorted 6 bins in 8.5 minutes. 

1.     The sort was only to the bin and not a finished result, because the materials were not packed into their shipping containers.   They were sorted into the sorter bins.  It was only for the purpose of seeing how many items could pass through the scanner.  For this example, it can be assumed that the rate would be DOUBLED for the amount that could be sorted in this fashion.  However, additional work would have to be performed to get bins into shipping condition:  they would need to be re-packaged and “neatened”.

3.     Ergonomics & Safety

a.     Corey reported that high on the list of considerations would be attempting to make improvements and/or enhancements to ergonomics and safety.  There is an opportunity to do this with a sorter.

4.     Installation and Maintenance

a.     Corey and Doug Wilson observed that installation of the 8-bin unit at Fitchburg took 2 weeks from teardown of the old sorter to “go live”. 

b.     It could be expected to take at least that long to install a 65-bin unit at Delivery. 

c.      Training was stable and troubleshooting seemed to work well.

d.     Cleaning the unit was scheduled at 2-week intervals for Fitchburg.  The unit operates about 2 hours a day.

e.     Deeper cleaning took place at monthly and semi-annual intervals.

f.       A Delivery unit would need more frequent scheduling and the deep cleaning more often as it would likely be operating up to 8-10 more hours per day with significantly higher volume.

g.     A service contract came with the Fitchburg unit at 10% of the cost of the unit annually.

                                                   ii.     Corey shared an update on our project to inventory red cart supply and use.

1.     Doug Wilson has tagged all red carts that pass through delivery and we are observing about 95% of the supply when the first sample occurred about 8 years ago.

2.     The numbering will allow us to identify when repairs are made and when we formally “retire” carts (or alternatively add).

3.     We will be looking to check in with libraries that are heavy users of carts to talk through their use and supply considerations in the coming months.
