Collection Maintenance Subcommittee Minutes

Action Items:

The CMS recommends deleting the following low use codes; Collection Code ELRM (Electronic Resource Music) and Shelving Location CS (Civil Service Shelves).

The CMS recommends adding the following new Collection Codes; LPFIFA (Large Print Fantasy Fiction), LPFIHI (Large Print Historical Fiction), and LPFIRO (Large Print Romance Fiction).

1.     Call to Order at 9:31 am

a.     Introduction of guests/visitors

                                                    i.     None.

2.     Approval of previous meeting minutes: September 11, 2024

a.     Motion: T. Maes moved approval of the September meeting minutes.  K. Baker seconded.

b.     Discussion: none.

c.      Vote: motion carried.

3.     Action Items

    1. Low use Collection Codes and Shelving Locations

                                                    i.     ELRM (Electronic Resource Music) – 0 items

                                                   ii.     CS (Civil Service Shelves) – 2 items (both withdrawn)

1.     Motion: T. Maes moved to delete the codes ELRM and CS.  K. Baker seconded. 

2.     Discussion: A. Gannaway reviewed the low use codes.  These will be deleted in January after approval from the ILS Committee. 

3.     Vote: motion carried.

    1. New Collection Code requests (ROM)

                                                    i.     LPFIFA, LARGE PRINT FIC FANTASY (Large Print, Fantasy Fiction)

                                                   ii.     LPFIHI, LARGE PRINT FIC HISTORICAL (Large Print, Historical Fiction)

                                                 iii.     LPFIRO, LARGE PRINT FIC ROMANCE (Large Print, Romances)

1.     Motion: K. Baker moved to approve these new Collection Codes LPFIFA, LPFIHI, and LPFIRO.  T. Skov seconded.

2.     Discussion: A. Gannaway reviewed the code requests from ROM.  They have done some reorganization of materials at their library.  We do have Collection Codes for Large Print Mysteries and Westerns already.  This will go to ILS in December for final approval.  These codes wouldn’t be added until January after approval from the ILS Committee. 

3.     Vote: motion carried.

4.     Discussion

a.     Updates from previous meeting

                                                    i.     Section VIII of Linking Manual – update posted

1.     Discussion: The Criterion Collection section was updated to clarify those are items circulated together with the changes with TV series being circulating together.

b.     Update on ILS Evaluation

                                                    i.     Discussion: A. Gannaway updated the ILS Evaluation web page.  Right now, the topical workgroups are meeting.  We are bringing information together and see what other questions need to be answered.  We haven’t gotten pricing yet, not quite ready.  We conducted site visits for Polaris Leap (in person and virtual).  We are still working on a virtual site visit for SirsiDynix customers currently using BlueCloud, especially for Circulation.  BlueCloud Cataloging sites are proving harder to find. Winnefox is going to do some work to encourage their libraries to pilot BlueCloud.  Library staff simply haven’t had the time to deal with something new. 

c.      Other Bibliovation questions and discussion

                                                    i.     Discussion: K. Hull from SUN mentioned a topic for future meeting.  We are near reaching the limit for an Audio enabled book/VOX book Collection Code.  SUN is thinking about their future expansion and reorganization.  She will fill out the form and we will review at the January meeting.  S. Bukrey mentioned that STO is going to be ordering 7 Adult Wonderbooks to start with but see a potential to add more.
