4.     Reports

a.     IDEA Team

                                                    i.     Jean: Navigating the Terrain of Change with Dr. Alonzo Kelly in-person workshops, April 25 (Green Bay) and May 9 (Wisconsin Dells).

1.     Five hours continuing ed credit.

2.     Link to event website page was shared and announcements will be sent out.

                                                   ii.     Mark: Planning a BIPOC unconference for early next year. An advisory committee will be formed later this year to work on the event details.

5.     Discussion

a.     Kits:

                                                    i.     Jean: SCLS staff are forming a kit team. The first meeting will be April 19.

1.     The team will be made up of SCLS staff, including people from this committee and from Delivery.

2.     The committee will review how kits are requested (forms), updating and weeding kits (Mark provided usage statistics), inventorying, and developing processes for adding new kits.

                                                   ii.     Demonstration videos

1.     Brenda: Would like demo video for VR kits. She would be happy to work on VR kit demo or to do demo videos for any kit.

2.     Shawn: Shared a link to examples of tutorials she had done with Mark Cullen for the printing press kit.     

                                                 iii.     Updating kit contents and promoting kits

1.     Jean: Shared a link to the SCLS webpage listing equipment for programming.

2.     Brenda: Had noticed some kits borrowed for programming were stale, had VHS and cassette tapes.

3.     Shawn and Jeff Grandt-Turke have done a weeding project removing kits with outdated equipment.

                                                 iv.     New kit requests

1.     Jean: Book repair kit is on the list, likely for later this year.

a.     Melissa: Requested a spiral binding fix it tool be included with that kit.

2.     Brenda: Fog machine.

3.     Brenda: Puzzle competition kits.

a.     Melissa: MTH did a puzzle contest, and will absolutely do it again, but missing puzzle pieces is a big concern (100 piece puzzles do not have exactly 100 pieces, all pieces for all puzzles would have to be counted).

                                                                                                                i.     Leah (POY): Do other kits have many pieces? Jean: Lego kits

                                                                                                               ii.     Jean: Kits are not checked, by pieces when they come back to SCLS. The standard is to not check kits before they go out to new library. It is trusted that libraries include all pieces when a kit is returned to SCLS.

4.     Melissa: The genealogy scanning kit is one of their most used. It could use some updating.

5.     Bring kit suggestions to this committee.

a.     The LIS Idea Submission Form can be used.

                                                                                                                i.     Tracie makes it available with all Top 5 emails.

                                                                                                               ii.     A link to it is on the SCLS website.

b.     PCPL STEM materials update (Laura/Shawn)

                                                    i.     Rose: Portage County offered to share weeded programming materials with other libraries.

                                                   ii.      Shawn: Some Spheros and other items will be added to existing SCLS kits. Thank you to Laura and Portage County.

c.      Dashboard (Tim)

                                                    i.     Tim: Has created a dashboard that uses library supplied data to create a Branch Snapshot.

1.     Laura (Portage County) provided the test data. Laura entered the data in Google Sheets, Tim put it into another sheet, and then used the data in Tableau to create a dashboard.

a.     As Portage County updates data in their spreadsheet, it will be a simple process for Tim to update the dashboard

b.     Data captured includes copier use, door counts, circulation by collection.

2.     Now that the workflow is developed, libraries can provide Tim with data and he will create similar dashboards for them.

3.     Leah (DEE): She would like to see/use Laura’s Google sheets as templates. She currently only uses Excel.

a.     Tim could possibly provide a form that a library would provide data through (monthly).

b.     No matter what spreadsheet is used to provide data, Tim will have to manipulate the data on the backend for Tableau.

4.     Siri: Likes the example dashboard. Asked, is the dashboard for the public to view or just staff?

a.      Tim: Can be either public or private.

b.     Rose: How is it kept private, is there password protection?

                                                                                                                i.     Tim: It is only accessible with a shared link.

                                                   ii.     Tim: Do people like the current format of the Fast Facts dashboard?

1.     Melissa: Thinks it looks great and is easy to understand.

2.     Leah (DEE): Is it possible to put on websites?

a.     Tim: Yes. Can look into if it can be set to a specific library and not all libraries.

b.     Melissa: She took a screen shot, used Canva, saved it as a jpg, and added it to their website.

c.      Mark: There is a download button on the dashboard to share it (saves as png).

d.     Rose: If using an image of the dashboard, include a link to the interactive dashboard to make the text of the image accessible (because the image by itself will have too much text to describe adequately in alternative text).

d.     Library visits:

                                                    i.     Tim: Vicki Teal and Heidi Oliversen visited the Cincinnati Public Library for a demonstration of the library’s sorter. They were impressed.

 

6.     Items from clusters:

a.     Brenda: There will be road construction in front of their library from May to October. They are worried about access to their building during that time, especially for summer reading.

                                                    i.     Thinking of setting-up (providing collections) from various locations in town throughout that time. Would like feedback if others have done that.

                                                   ii.     Siri: Found a gutted bus that could become a bookmobile, but it is beyond their budget. Could SCLS have a shared bookmobile so libraries can provide access beyond the library?

1.      Jean: it is a good idea, but may not be feasible.

2.     Mark: Recommended they look into resources provided by the Association of Bookmobiles and Outreach Services (ABOS). The link was shared.

                                                 iii.     Siri: Does SCLS own the red Delivery trucks and vans?

1.     Jean: Yes, but they are not available for loan to the library.

                                                 iv.     Jean/Rose: DCLS or libraries with bookmobiles/book-bikes (maybe Monona or Fitchburg) might have a model for outreach.

                                                   v.     Check with Heidi Oliversen to see if changes need to be made in Bibliovation to keep catalog up to date while providing remote check-outs.

                                                 vi.     Melissa: They had same thing, but people dealt with it and still came into the library. It did not stop library visits as much as they had expected.
